1. Director
Objective
Coordinate and oversee all positions and programs to insure we are meeting the needs of your Bloomfield youth in terms of soccer education, enjoyment and success.
Tasks
- Establish and hold bi-monthly meeting or work session as needed to prepare and assign task for up coming programs.
- Establish Club Charter and post on website.
- Liaison with outside organizations such as the Bloomfield Central Schools, local parks and recreation organizations and NYS West Youth Soccer Association.
- Recruit both coaches and administrative volunteers.
- Complete any tasks not covered by balance of volunteers.
- Attend any mandatory club director/president meetings by leagues our club is involved with or assign coverage.
- Work towards increasing participation in the club at both the recreation and travel levels.
- Find ways to involve our local youth and our youth organizations in terms of administrative tasks or jobs.
2. Treasurer
Objective
To track club expenses and insure club and individual programs remain viable and sustainable based on individual program revenue and fund raising efforts.
Tasks
- To collect and deposit all revenue of the club and its programs.
- To pay all club and program bills.
- To present club financial standings at each club meeting.
- To analyze program expenses to assist in setting fees.
3. Director of Coaching
Objective
Support coaches with educational opportunities, direction and equipment with a focus on using current national and international proven training methods for youth soccer.
Tasks
- Track and promote coaches taking the “E” licenses course.
- Assist any and all coaches with training ideas and suggestions.
- Monitor when possible team practices to insure quality instruction.
- Lead coaches meeting prior to summer season as a minimum.
- Create BSC Camp training program with counselor assistance/input.
- Broadcast and post on website any coaches workshops available.
- Pass along any coaching resources via email or hard copy.
4. Registrar (BYSL/CASL/Indoor/Camps)
Objectives
To support the recreational and instructional side of the program in getting youth and coaches’ paper work ready for participation in our programs.
Tasks
- Be present for in-person registration dates when ever possible.
- Collect registration forms from in-person events, P.O. Box, or another admin staff member.
- Use Roster Pro to activate players (which covers them for insurance) and as a tool to print and manage team rosters.
- Update and manage the RP database to insure information is as accurate as last registration provided by member.
- Return registration forms received without payment.
- Work with Uniform and T-Shirt coordinator on ordering by player size.
5. RDYSL Registrar
Objectives
To support the travel teams participating in the Rochester District Youth Soccer League by getting the youth and the coaches’ paper work ready for participation.
Tasks
- Be present for in-person registration dates as well as tryout dates.
- Collect registration forms from in-person events, p.o. box, or another admin staff member.
- Use Roster Pro (which covers them for insurance) and the RDYSL website to activate players and as a tool to print and manage team rosters.
- Return registration forms received without payment.
- Assist with the completion of travel passes.
- Work with Uniform and T-Shirt coordinator on ordering by player size.
6. Equipment Manager
Objective
Have the appropriate amount of equipment on hand at all times by purchasing in advance and at discount when ever possible.
Tasks
- Store and maintain equipment in an orderly manner either at the equipment manager’s residence business or third party location.
- Approx. 150 sq.ft. is required (club has plastic shelving units).
- Manage and track any equipment stored offsite at school or local parks.
- Store any excess uniforms T-Shirts or old supplies for sales by club at registration or as a booster club donation for fall rummage sale.
- Keep running inventory of equipment on hand.
- To distribute equipment to all teams prior to their respective seasons.
- To select and order equipment required to support our programs and to have some “spare” equipment on hand at all times.
- Organize the equipment hand out and collection process for each program.
7. Uniform Coordinator
Objective
Provide appropriate quality soccer wear to players/teams.
Tasks
- Select vendor and order cost effective uniforms for the travel and recreation teams.
- Pick up the order upon completion by vendor.
- Deliver uniforms and/or T-Shirts to coaches for distribution to player.
- Order coaches shirts and distribute to coaches.
- Work with Equipment manager for the storage of excess uniforms and/or T-Shirts.
8. Facility & Field Coordinator
Objectives
Schedule Facilities and/or fields for all club soccer events.
Tasks
- Work with various parties (Town of Bristol, Town of West Bloomfield, Bloomfield Central School etc.) to secure fields for practice and games for all programs.
- Organize the master field matrix (Excel) to insure teams have the appropriate size practice area and game field for their age group.
9. Field Maintenance
Objectives
Ensure that fields are ready for play based on league criteria.
Tasks
- Coordinate initial lining of secured fields.
- Ensure fields, or coaches using the fields) have required equipment for games (ie. secured nets and corner flags).
- Coordinate ongoing lining of active fields.
- Coordinate proper maintenance of fields to avoid league fines.
- Setup and store club owned goals at school.
Objectives
To elicit sponsorship of our teams and camps to help keep player fees minimized while maximizing the possible benefits to our sponsors.
Tasks
- Work with director to offer a desirable sponsorship program to local businesses.
- Contact potential sponsors to obtain their support in person and in writing.
- Collect sponsorship data and fees.
- Work with webmaster to update website sponsor page.
- Work with club selected photographer on sponsor plaque design.
- Delivery sponsor team picture plaques to respective sponsors.
11. Risk Managment Coordinator
Objectives
Ensure all of our coaches have current risk management passes.
Tasks
- Keep up to date on coaches who are current.
- Work with new coaches to obtain their passes.
- Work with coaches with expired passes to obtain current passes.
- Present at coaches meeting for understanding.
- Liaison with NYSWSYA regarding risk management issues.
- Laminate passes upon receipt and distribute to coaches.
12. Webmaster
Objectives
To provide an information platform on the internet for our soccer club members to find program details, forms and procedures.
Tasks
- Upload any new forms presented by admin staff.
- Keep website up-to-date with requests from board members and coaches.
13. Team Picture Coordinator
Objectives
Provide families with a cost effective memory and provide our sponsors with a memento of thanks.
Tasks
- Work with director to select club photographer.
- Work as club liaison with the photographer.
- Coordinate picture nights and schedule.
- Distribute photo packets to coaches for distribution to players prior to photo night.
- Distribute sponsor photos/plaques (if applicable) to sponsors with letter of thanks
